The situation

Fourteen trucks, three dispatchers, and more than 40 quotes a day during summer. Dispatchers spent 60% of their time preparing quotes: reconstructing field context, checking parts, calculating labor, and formatting an answer. Same-day opportunities were reaching customers hours late.

The decision

Make the quote a checked packet, with the information behind the price ready for the dispatcher. The work to automate was preparation; the customer commitment still needed an accountable decision.

What changed

The system structured equipment, model, and symptom details from the field, checked supplier availability, applied equipment and location-based labor logic, and prepared the formatted quote with source checks linked. That connected the field request to the evidence dispatch needed to review it.

Where people stay involved

Incomplete submissions returned for clarification. A customer-ready quote could be released only after dispatcher review, so missing field context did not quietly become a price or delivery promise.

The outcome

Reported average quote turnaround moved from 20 minutes to 3. Summit also reported $8.2k saved per month in dispatch, a +18% close rate on quoted jobs, and one person freed from full-time quoting duty.
